The Administrative Services Group (ASG) provides comprehensive, coordinated administrative services to all of UVAFinance. ASG was formed in April 2017 in response to the UVAFinance Appreciative Inquiry process and is made up of administrative professionals from all UVAFinance departments. Organized around basic administrative functions such as finance (Recon@, FTE management, cost transfers, etc.), purchasing, human resources (onboarding and offboarding, etc.), physical space, travel and expense, records management, events, budgets, and communications, the team is cross-trained and collaborative, and therefore able to provide seamless service. ASG takes a Lean approach, using process mapping tools and the RAPID decision-making process to create standard operating procedures for most administrative activities.
The human resources team on ASG was able to revamp the on-boarding process, enabling them to accommodate up to six new employees on their start date, rather than the previous lead time of up to one week.
ASG recently partnered with UVA Records Management to address the caged storage area in the basement of Carruthers Hall. This seven-week effort saw a cleanup of 931 cubic feet of material and 1209 cubic feet sent to proper storage. The team was recognized with the Records Management Award for their effort at the 2017 ISPRO Conference.
The group also partnered with the School of Medicine and the School of Continuing and Professional Studies to roll out KACE software, which will make it easier for UVAFinance LSPs to address the technological needs of their clients.
ASG team members help to keep Finance running smoothly, supporting all units with their time and expertise both day to day and, sometimes, as extra hands during busy periods and special events.
